JV Copilot Inc. (“JV Copilot,” “Company,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, store, and protect information when you access or use our website, platform, software, products, and services available at https://jvcopilot.ai and any related services we provide (collectively, the “Service”). JV Copilot Inc. is a Delaware corporation. By accessing or using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with this Privacy Policy, please do not use the Service.
1. Information We Collect
We collect information in the following ways.
a. Information You Provide to Us
We may collect information that you provide directly to us, including:
- name;
- email address;
- password and account login information;
- company name, business information, and profile information;
- payment and billing information, which is processed by Stripe or other secure third-party payment processors;
- phone numbers and SMS consent information, where you or your partners choose to provide phone numbers for campaign reminders or other messaging features;
- JV partner names, contact lists, campaign lists, affiliate lists, subscriber-related information, and related business contacts;
- uploaded files, campaign materials, promotional assets, swipe copy, launch dates, notes, reminders, and other content you add to the Service;
- communications you send through or in connection with the Service, including email, SMS, direct messages, or other integrations;
- support requests, feedback, survey responses, and other communications with us.
b. Information Collected Automatically
When you use the Service, we may automatically collect certain technical and usage information, including:
- IP address;
- browser type and settings;
- device type, operating system, and device identifiers;
- pages viewed, features used, links clicked, timestamps, referring URLs, and usage logs;
- cookie identifiers and similar tracking technologies;
- approximate location derived from IP address;
- email engagement data, such as whether an email was opened or a link was clicked;
- bot, proxy, and automated-activity signals used to improve campaign analytics and security.
c. Email Campaign and Tracking Data
JV Copilot may provide tracking technology, including tracking pixels, tracked links, and related analytics tools. When an email or campaign message includes our tracking technology, we may collect:
- email open events and timestamps;
- link click events and timestamps;
- IP address;
- device type;
- email client or browser information;
- approximate location based on technical data;
- bot, proxy, or automated activity indicators;
- campaign, partner, and message identifiers. This data may be collected when images are displayed, links are clicked, or other tracked activity occurs.
d. SMS and Mobile Messaging Data
If you or your partners use SMS features through JV Copilot, we may collect and process information related to mobile messaging, including:
- mobile phone numbers;
- SMS opt-in and opt-out status;
- consent source, consent date, consent method, and related consent records where available;
- SMS message content, timestamps, delivery status, and engagement information;
- HELP, STOP, unsubscribe, or other opt-out requests;
- technical information needed to send, deliver, troubleshoot, and verify SMS messages. SMS messages may be sent using Twilio or similar messaging service providers.
e. AI-Generated or AI-Processed Data
The Service may use artificial intelligence or automated systems to analyze content you submit or generate outputs such as message drafts, templates, reminders, summaries, suggestions, campaign insights, and partner follow-up recommendations. AI-processed data may include your campaign information, partner information, uploaded materials, messages, prompts, usage activity, and related context needed to provide the requested feature. We may use AI service providers, including OpenAI, Anthropic, Google Gemini, or similar providers, to support these features.
f. Information from Third-Party Services and Integrations
If you connect third-party services to JV Copilot, we may collect information from those services as authorized by you. These services may include email providers, calendar providers, CRM systems, affiliate platforms, payment processors, analytics tools, SMS gateways, messaging platforms, AI providers, and other integrations. Depending on the integration, this may include contact information, message metadata, campaign data, calendar events, affiliate performance data, conversion data, revenue data, partner activity, and related account information.
2. How We Use Your Information
We use information to:
- create, operate, maintain, and secure your account;
- provide, personalize, and improve the Service;
- help you manage JV, affiliate, referral, launch, webinar, summit, and partner campaigns;
- facilitate communication with JV partners, affiliates, and other contacts;
- send SMS reminders, campaign reminders, follow-ups, notifications, and related campaign communications where proper consent has been obtained;
- provide reminders, templates, follow-up tools, campaign planning tools, and workflow assistance;
- provide campaign analytics, partner analytics, open tracking, click tracking, conversion tracking, leaderboard features, and performance reporting;
- filter automated bot activity, proxy activity, and unreliable engagement signals;
- process payments, subscriptions, memberships, refunds, and related transactions;
- send service updates, account notifications, transactional messages, security alerts, and support communications;
- respond to inquiries and provide customer support;
- improve product functionality, reliability, security, and user experience;
- analyze usage through tools such as Google Analytics and PostHog;
- detect, prevent, and address fraud, spam, abuse, security incidents, and unauthorized access;
- enforce our Terms of Use and other agreements;
- comply with legal, tax, accounting, regulatory, and corporate obligations.
3. Legal Bases for Processing
Where required by applicable law, we process personal information based on one or more of the following legal bases:
- your consent;
- performance of a contract with you;
- our legitimate business interests, such as operating, improving, securing, and marketing the Service;
- compliance with legal obligations;
- protection of our rights, users, partners, and the integrity of the Service.
4. Third-Party Services and Integrations
We may use or integrate with third-party services, including but not limited to:
- email providers, such as Gmail and Outlook;
- SMS and messaging providers, such as Twilio, Facebook Messenger, WhatsApp, or similar tools;
- payment processors, such as Stripe;
- analytics providers, such as Google Analytics and PostHog;
- hosting and infrastructure providers;
- customer support tools;
- CRM, affiliate, tracking, and marketing platforms;
- calendar and scheduling providers;
- AI service providers, such as OpenAI, Anthropic, Google Gemini, or similar providers. Your messages, campaign data, partner data, phone numbers, and other content may pass through or be processed by these third-party services when you use connected features. We are not responsible for the privacy practices of third-party platforms. Your use of third-party services may also be governed by their own terms and privacy policies.
5. User Responsibility for Partner, Affiliate, Subscriber, and SMS Contact Data
You are responsible for ensuring that you have the legal right to upload, import, process, message, track, and otherwise use any partner, affiliate, lead, customer, subscriber, or contact data that you provide to JV Copilot. You are also responsible for ensuring that your campaigns, communications, tracking practices, and contact lists comply with applicable laws, including privacy laws, anti-spam laws, marketing laws, platform rules, and industry-specific requirements. This may include laws such as CASL, CAN-SPAM, TCPA, CCPA/CPRA, state privacy laws, GDPR, UK GDPR, and other applicable privacy or electronic communications laws. If you provide mobile phone numbers to JV Copilot, you represent and warrant that you have obtained all required consent from each person associated with those phone numbers before causing JV Copilot to send or facilitate SMS messages to them. Where consent is collected through a web form, checkbox, onboarding form, campaign registration page, or similar method, you are responsible for ensuring that:
- the phone number field is clear;
- SMS consent is optional and not required as a condition of purchase or participation unless legally permitted;
- any SMS consent checkbox is not pre-selected;
- the form clearly describes the types of messages the recipient will receive;
- the form includes expected message frequency or states that message frequency may vary;
- the form discloses that message and data rates may apply;
- the form includes HELP and STOP instructions;
- the form links to applicable Terms of Service and Privacy Policy pages;
- consent is specific to the relevant campaign, sender, and message type. If you collect verbal, offline, written, or other non-web-form consent, you are responsible for ensuring that the consent is legally valid, properly documented, and sufficient for the specific message type and campaign. You must maintain records showing when, how, and from whom consent was obtained, and you must provide those records to JV Copilot upon request. For promotional or marketing SMS messages, verbal consent alone may not be sufficient. JV Copilot may require additional proof of consent, written consent, double opt-in, or other verification before sending or continuing to send SMS messages.
6. SMS and Mobile Messaging
JV Copilot may allow users to send or facilitate SMS reminders and campaign-related text messages to partners, affiliates, or other campaign participants who have opted in to receive such messages. SMS messages may include campaign reminders, launch reminders, promotional schedule reminders, partner follow-up reminders, onboarding reminders, or other campaign-related updates. Message frequency may vary depending on the campaign and user settings. Message and data rates may apply. Recipients may reply STOP to unsubscribe or HELP for help, where supported. Consent to receive SMS messages is not required as a condition of purchasing any goods or services from JV Copilot. JV Copilot respects SMS opt-out requests. If a recipient opts out, we may process and retain the recipient’s phone number and opt-out status as necessary to honor the opt-out request and prevent further messages where required. Carriers are not liable for delayed or undelivered messages.
Mobile Information Sharing
JV Copilot does not sell mobile phone numbers, SMS opt-in data, or SMS consent information. Mobile information, including phone numbers and SMS opt-in consent, will not be shared with third parties or affiliates for their own marketing or promotional purposes. We may share mobile information with service providers, subcontractors, and platform vendors only as necessary to provide, support, secure, and operate SMS messaging features. These providers may include SMS delivery providers, hosting providers, customer support tools, compliance tools, and infrastructure providers.
7. Email Campaign Tracking
a. What We Collect
When a user, partner, affiliate, or other sender uses email content or tracking technology provided by JV Copilot, we may collect campaign engagement information, including:
- email open events;
- link click events;
- timestamps;
- IP address;
- device type;
- browser or email client;
- approximate location;
- bot, proxy, and automated-activity indicators;
- campaign, partner, and message identifiers.
b. Why We Collect It
We collect this information to:
- provide campaign performance analytics;
- help users understand partner and campaign activity;
- measure email engagement;
- filter bot and proxy activity;
- improve accuracy of reporting;
- support leaderboard, attribution, and campaign-management features.
c. Who Can Access Campaign Analytics
The user who manages a campaign may receive campaign analytics and performance reporting. Depending on the feature, this may include aggregated or campaign-level information about partner activity, email engagement, clicks, conversions, revenue, and related performance metrics. We do not sell individual email recipient data.
d. Recipient Choices
If you received an email containing JV Copilot tracking technology and have questions about the email, the sender is usually the best first contact because they control the email content, recipient list, and sending practices. You may also contact us at privacy@jvcopilot.ai to request deletion of tracking data associated with you, where we are able to identify it and where deletion is required or appropriate under applicable law. You can also reduce or prevent some email tracking by disabling automatic image loading in your email client or using privacy-protective email settings. Important: JV Copilot does not control the email lists, recipient consent, message content, or sending practices of users, partners, or affiliates. The sender is responsible for obtaining required consent and complying with applicable email marketing, privacy, and anti-spam laws.
8. Cookies and Similar Technologies
We may use cookies, pixels, local storage, software development kits, and similar technologies to:
- maintain user sessions;
- authenticate users;
- remember preferences;
- analyze usage;
- improve product performance;
- provide campaign analytics;
- measure marketing and referral activity;
- detect fraud, abuse, and security issues. Affiliate and referral attribution cookies are stored for 30 days from the date of the referral click. We use analytics tools such as Google Analytics and PostHog to understand how users interact with the Service and to improve product performance. You can control cookies through your browser settings. Disabling cookies may affect some features of the Service.
9. How We Share Information
We do not sell your personal information. We may share information with:
- service providers that help us operate the Service, such as hosting providers, payment processors, analytics providers, email providers, SMS providers, AI providers, support tools, and infrastructure vendors;
- third-party integrations that you choose to connect or use;
- other users, partners, or campaign participants at your direction or as necessary to provide the Service;
- business partners or promotional partners where reasonably necessary to operate a campaign, promotion, partnership, integration, co-marketing activity, or support relationship that you participate in or direct us to support;
- professional advisors, such as lawyers, accountants, auditors, insurers, and business advisors;
- legal authorities, regulators, courts, or other parties where required by law, subpoena, court order, legal process, or to protect our rights;
- parties involved in a business transaction, such as a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar event;
- relevant parties where necessary to investigate fraud, misuse, security incidents, spam, unlawful activity, or violations of our Terms of Use. Even where we share information with service providers, business partners, or promotional partners, mobile phone numbers, SMS opt-in data, and SMS consent information will not be shared with third parties or affiliates for their own marketing or promotional purposes.
10. Affiliate Program Data
If you participate in our affiliate, referral, or partner program, we may collect and process:
- referral links and tracking identifiers;
- cookies and attribution data;
- affiliate referral cookies stored for 30 days to attribute signups and purchases to the referring affiliate;
- referred customer information;
- payout and commission details;
- tax or payment information;
- fraud, misuse, or compliance review information. Misuse, fraud, spam, misleading promotion, self-referrals, chargebacks, or policy violations may result in data being shared with relevant parties for investigation, enforcement, fraud prevention, or legal compliance.
11. Data Retention
We retain personal information for as long as reasonably necessary to provide the Service, maintain your account, provide campaign analytics, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud or abuse, maintain security, and operate our business. Email tracking data, SMS consent records, SMS opt-out records, campaign analytics, partner activity, and performance data may be retained to provide ongoing campaign history, reporting, attribution, compliance records, and account records. You may request deletion of your account by contacting privacy@jvcopilot.ai. We may retain certain information where required or permitted by law, including for legal, tax, accounting, fraud-prevention, security, dispute-resolution, opt-out compliance, consent verification, or backup purposes.
12. Security
We use reasonable technical, administrative, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. However, no method of transmission over the internet or method of electronic storage is completely secure. We cannot guarantee absolute security.
13. International Data Transfers
JV Copilot Inc. is incorporated in Delaware, United States, and its mailing address is in Canada. We and our service providers may process, store, or transfer information in the United States, Canada, and other countries where we or our providers operate. These countries may have privacy laws that differ from those in your jurisdiction. Where required, we use appropriate safeguards for international transfers of personal information.
14. Your Privacy Rights
Depending on where you live and which laws apply, you may have the right to:
- request access to personal information we hold about you;
- request correction of inaccurate personal information;
- request deletion of personal information;
- request a copy or portability of personal information;
- withdraw consent where processing is based on consent;
- object to or restrict certain processing;
- opt out of certain targeted advertising, sale, sharing, or profiling activities where applicable;
- appeal a decision we make about your privacy request where applicable. To make a privacy request, contact us at privacy@jvcopilot.ai. We may need to verify your identity before responding. We may also deny or limit requests where permitted by law.
15. U.S. State Privacy Rights
Residents of certain U.S. states, including Delaware, California, Colorado, Connecticut, Virginia, Utah, and other states with comprehensive privacy laws, may have additional rights where those laws apply to JV Copilot Inc. These rights may include the right to know or confirm whether we process your personal information, access your personal information, correct inaccuracies, delete personal information, obtain a copy of your personal information, and opt out of certain processing such as targeted advertising, sale of personal information, or certain profiling. To exercise these rights, contact us at privacy@jvcopilot.ai. Delaware residents may also contact the Delaware Department of Justice at privacy@delaware.gov if they have concerns about how a privacy request is handled.
California Notice
If the California Consumer Privacy Act, as amended by the California Privacy Rights Act, applies to JV Copilot Inc., California residents may have additional rights, including the right to know, delete, correct, opt out of sale or sharing, limit use of sensitive personal information, and not be discriminated against for exercising privacy rights. JV Copilot does not sell personal information for money. We also do not knowingly sell or share personal information of individuals under 16. We do not sell or share personal information for targeted advertising. We may use cookies, analytics tools, and similar technologies for product analytics, campaign analytics, security, attribution, and platform improvement. Where applicable law treats any analytics or cookie activity as a sale, sharing, targeted advertising, or similar activity, we will provide appropriate opt-out rights.
16. Canadian Privacy Rights
If Canadian privacy laws apply, including PIPEDA or applicable provincial privacy laws, you may have the right to access personal information we hold about you, request correction of inaccurate information, withdraw consent where applicable, and challenge our compliance with applicable privacy obligations. 17. European, UK, and International Users
Although JV Copilot primarily targets customers in the United States and Canada, individuals outside those regions may access the Service. If GDPR, UK GDPR, or similar laws apply to our processing of your personal information, you may have additional rights, including rights to access, rectify, erase, restrict processing, object to processing, data portability, and lodge a complaint with a supervisory authority. Where required, we process personal information based on consent, contract necessity, legitimate interests, legal obligations, or other lawful bases.
18. Children’s Privacy
The Service is not intended for children or for users who are under the age of majority in their jurisdiction. We do not knowingly collect personal information from children. If we learn that we have collected personal information from a child without appropriate consent, we will take reasonable steps to delete it.
19. Business Transfers
If JV Copilot Inc. is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar business transaction, personal information may be disclosed or transferred as part of that transaction, subject to applicable law. However, mobile phone numbers, SMS opt-in data, and SMS consent information will not be transferred to third parties or affiliates for their own marketing or promotional purposes except where permitted by applicable law and messaging compliance rules.
20. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we may notify you by email, through the Service, by posting a notice, or by updating the “Last Updated” date above. Your continued use of the Service after the updated Privacy Policy becomes effective means you acknowledge the updated policy.
